GuardBox is built and maintained by a colorguard instructor and designer active in the community. Many of our users are young performers, students, and educators who trust us with their data. That trust matters.

Scope
This policy covers how we collect, use, and share information when you use GuardBox apps, websites, and services (the "Services").
Information We Collect
Account Information
- Email address
- Display name
- Authentication identifiers (e.g., Firebase user ID)
User Content and Inputs
- Feedback messages and support requests
- Notes, transcriptions, scores, and related data you enter
- Uploaded audio files and documents used for transcription or analysis
Usage and Analytics
- Pages visited and features used
- Session identifiers
- Device/platform info (e.g., iOS, Android, Desktop)
- App version and timestamps
Purchases and Subscriptions
- Subscription status, plan, and entitlements
- Purchase events and identifiers (handled by our payment provider)
Local/Device Storage
- Preferences, cached data, and local files stored on your device or browser
What We Do NOT Collect
- Your precise location or GPS data
- Your contacts, photos, or camera roll
- Your browsing history outside GuardBox
- Biometric data (fingerprints, face scans)
- Health or fitness information
- Your credit card or bank account numbers (payments go through Apple, Google, or RevenueCat)
- Social Security numbers or government IDs
- Data from other apps on your device
The camera and microphone are used only when you actively choose to scan a document or record audio. We don't access them in the background.
How We Use Information
- Provide and improve the Services
- Authenticate users and secure accounts
- Process subscriptions and entitlements
- Run analytics and troubleshoot issues
- Respond to feedback and support requests
- Send service-related emails (account and security messages)
If we add marketing emails, you can opt out at any time.
Sharing and Disclosure
We do not sell your personal information. Period. We will never sell, rent, or trade your data to advertisers or data brokers.
We only share data when absolutely necessary:
- Service providers: Companies that help us run GuardBox (hosting, authentication, transcription, payments). They are contractually required to protect your data and can only use it to provide their services to us.
- Legal requirements: If required by law or to protect safety. We will notify you if legally permitted.
We do not share your scores, notes, transcriptions, or personal content with anyone. That's yours.
Third-Party Services
Our Services may use:
- Firebase (authentication, database, storage)
- RevenueCat (subscriptions)
- OpenAI and/or Deepgram (transcription)
- AWS Textract (document analysis)
Third-Party Content and Trademarks
GuardBox may display public information, names, schedules, or references related to third-party organizations, events, or content sources (for example, circuits, associations, or publishers). Those names, trademarks, and materials are the property of their respective owners. GuardBox is not sponsored by, endorsed by, or affiliated with any third-party organization unless explicitly stated.
Data Retention
- Your account data stays until you delete your account
- Uploaded files for transcription/analysis are processed and then deleted. We don't keep copies.
- Analytics data is aggregated and anonymized over time
When you delete your account, we delete your personal data. Some anonymized, aggregated data (like "how many users visited this page") may remain, but nothing that identifies you.
Your Rights and Choices
- Access your data: Export everything from Settings at any time
- Update your information: Edit your profile and settings whenever you want
- Delete your account: Remove your account and all associated data from Settings
- Request a copy: Email us and we'll provide your data in a portable format
- Opt out: Turn off cloud sync, notifications, or analytics at any time
To exercise any of these rights, use the in-app settings or email us at robert@thatguywhospins.com. We respond to all requests within 30 days.
Children's Privacy
The colorguard community includes many young performers.
- Users must be 13 or older to create an account
- If you're under 18, we recommend having a parent or guardian review this policy
- We do not knowingly collect personal information from children under 13
- If we discover we've collected data from a child under 13, we will delete it immediately
Parents: if you believe your child has provided us with personal information, please contact us and we will promptly remove it.
International Users
If you're outside the United States:
- Your data may be transferred to and stored on servers in the U.S.
- We apply the same security and privacy protections regardless of where you are
- Your rights under local privacy laws (like GDPR in Europe) still apply
How We Protect Your Data
Encryption
- All data in transit uses HTTPS/TLS encryption
- Your data is encrypted at rest in our cloud databases
Authentication & Access
- We use Firebase Authentication, an industry-standard system trusted by millions of apps
- We never store your password in plain text. Passwords are securely hashed.
- Each user's data is isolated with per-user security rules, so only you can access your own profiles and scores
- If you sign in with Google or Apple, we never see or store your password at all
Payment Security
- We never see or store your credit card information
- All payments are processed through Apple, Google, or RevenueCat, all PCI-compliant providers
Data Minimization
- We only collect what we need to provide the service
- Uploaded audio and images are processed and not retained longer than necessary
- You can use many features without creating an account at all
Our Commitment
No system is 100% secure, but we continuously review and improve our security practices. If we ever discover a breach that affects your data, we will notify you promptly and take immediate action to protect you.
Changes to This Policy
- We'll update the "Last Updated" date at the top
- For major changes, we'll notify you in the app or by email
- You can always find the current policy at guardbox.app/legal/privacy.html
We will never make changes that reduce your privacy protections without giving you notice and a choice.
